[Mid] Another (pretty urgent) call for help (LONG)

Greetings, all. Pardon the big sucking-up of bandwidth, but this is
theoretically of interest to many across the entire Kingdom. (Caps below
for EMPHASIS, not shouting).

Has anyone noticed anything ODD about the Kingdom Calendar lately?
Particularly for APRIL and MAY? That there's NO Spring Coronation OR Spring
Crown Tourney listed??? NO ONE has put in a bid for those events!!
SURELY, you gasp, that CANNOT be so!! Why, yes, neighbor, sad to say, but
it is indeed the case.

Now, as Kingdom Seneschal and responsible for the upholding of the law in
this fair realm, I noticed that we have a wee problem here, i.e. we can't be
a Kingdom without a King and Queen (pesky thing, that Corpora, and our law
is just as pesky). We can't have a King and Queen if we don't have a
Coronation. And we can't have ANOTHER King and Queen without Heirs chosen
at a Crown Tourney.

Here's the pesky MK law bit about when these things should take place and
how they are to be chosen (some editorial snippage down at the rotation
section for shortening this e-mail -- CAPS below to distinguish MY COMMENTS
from the text of the law]:

"VI -100 Coronations of the Middle Kingdom shall be held between the second
full weekend in April to the second full weekend in May and between the
second full weekend in September to the second full weekend in October,
except for unusual circumstances."

[WE'RE LATE.]

"VI-101 Coronations and Crown Tournaments of the Middle Kingdom shall be
rotated amongst the different regions of the realm so that such events can
be distributed fairly throughout the Middle Kingdom. The following schedule
shall start the rotation and set the pattern for the future:

Bids will be sought from both primary and secondary regions in the rotation.
  Bids will be accepted from any branch in the Kingdom. In the case of two
equal event bids, preference will fall to the bid originating from the
region in the rotation cycle.

The Kingdom Seneschal will coordinate with groups hosting kingdom events to
ensure that the needs and spirit of the event are maintained.

[THIS MEANS THE KINGDOM SENESCHAL WILL HELP COORDINATE BEWTEEN THE ROYALTY
AND THE LOCAL HOST GROUP TO MAKE SURE EVERYONE WORKS TOGETHER AND
UNDERSTANDS WHAT THE EVENTS ARE FOR, TO HELP MAKE SURE THAT EVERYONE GETS
WHAT THEY WANT OUT THE EVENT.]

The goal is for each event to be on the Kingdom Calendar at least nine
months before the date of the event. This will help with the event planning
process and free up the kingdom calendar for other groups planning events.

[GUESS WHAT? WE MISSED THESE DEADLINES.]

If no group within the region due to host the event has submitted a bid
within 10 months of the event, the Special Deputy will forward the best
available bid packages to the Kingdom Seneschal, regardless of region of
origin. All branches of the Middle Kingdom are encouraged to seek out
suitable sites for Kingdom events, and to submit bids on Kingdom events,
with preference going to the region listed in the rotation.

[THAT'S THE PURPOSE OF THIS E-MAIL. NO BIDS HAVE COME IN FROM THEPRIMARY OR
SECONDARY REGIONS SO WE'RE **REALLY** IN NEED AT THIS POINT, SINCE THE DELAY
IS NOT ONLY HOLDING THE KINGDOM EVENTS UP, BUT PUTTING A TREMENDOUS BURDEN
ON OTHER GROUPS TRYING TO PLAN EVENTS IN THE SAME MONTHS.

THE NEXT CURIA MEETING IS 26 OCTOBER, THE DAY AFTER CROWN TOURNEY. CURIA
WOULD **REALLY** LIKE TO GET THIS DECIDED ASAP BUT CANNOT DO SO WITHOUT BIDS
TO CONSIDER. IN OTHER WORDS, THIS IS URGENTLY TIME SENSITIVE AT THIS
POINT.]

The group hosting the event for the region needs to submit an event plan to
the Kingdom Seneschal, for review and approval by the Curia Regis. <snip>"

[PLEASE SEE BELOW IF YOU WANT TO TAKE A SAMPLE BID TO YOUR LOCAL GROUP TO
SEE WHAT A BID LOOKS LIKE. THIS IS ONLY A MODEL (ALBEIT A MODEL USED
SUCCESSFULLY ON MORE THAN ONE PAST OCCASION) BUT IT GIVES YOU AN IDEA OF
WHAT SORTS OF INFORMATION IS LOOKED FOR WHEN CURIA CONSIDERS A BID.

EVEN IF YOU DON'T HAVE **ALL** THE PERTINENT INFORMATION, IF YOU HAVE A
SITE, A DATE, THE MAJOR STAFF POSITIONS FILLED AND A TENTATIVE BUDGET,
THAT'S ENOUGH TO SEND IN. SIZE AND DATE AVAILABILITY ARE CRITICAL FOR
CHOOSING A SITE, AS ARE ROOM FOR THE POPULACE, ROOM FOR THEM TO PARK THEIR
CARS, AND FACILITIES FOR A COURT AND A FEAST.]

Lest this get any longer than it already is, please feel free to e-mail me
with any questions you may have. I urge you to take this to your group and
consider putting in a bid. If you think your group is too small, try asking
a neighboring group to co-sponsor. If you have a large group but no good
site, again, look to work with a neighboring group who might have a good
site but not enough people. If you have a great site for most of the
activities, but not the feast facilities, consider a split site. Be
creative! There are usually lots of solutions to any perceived obstacles.
And know that the Curia is here ready and willing to help you.

EVENT FACILITY

OVERVIEW:

The Masonic Temple is just west of downtown Dayton, Ohio, and two minutes
from I-75. Built in the 1920s, the classical facade of the exterior [pic.
#1] gives way to an ornate neo-Gothic interior. Carved and painted
ceilings, neo-Renaissance furnishings and other features give the Masonic
Temple unparalleled ambiance. It is also directly next door to the Dayton
Art Institute (DAI) for those of the populace who might like to take
advantage. The DAI is being contacted to try to arrange special deals for
SCA members who attend Crown.

SPACE & PURPOSE:

Main dining hall
Ample space for fighting during day and feasting in evening. Separate
spaces for fighters and their gear off to sides of main floor. Hard floors,
newly-renovated decor with ample chandelier and wall sconce lighting in
addition to natural light. Extremely high ceiling due to mezzanine (see
below). Adjacent to huge locker room with showers and large ladies’ room
with parlor-like lounge for changing. Ample opportunity to hang banners
from mezzanine railing and hardware available on mezzanine for banners on
poles. Tables and chairs store in enclosed area at end of room for quick
and easy conversion from a fighting to a feasting area. Spaces for fighters
and their gear will be used for off-board feast seating. [pics. #2-4]

Mezzanine
Mezzanine space to be used for merchants. It is one floor above fighting
and feasting area. Permits 360-degree view for spectators during tourney as
they tour merchant area. Ample electrical outlets are available. Should be
a high traffic area since it is so multipurpose. Decor matches main dining
hall.

Kitchen
Massive and extremely well-equipped for feast preparation. Separate serving
area with steam tables. Separate cold storage and food prep area (salad
room). Commercial dishwashing machine. Told they can feed upwards of 600
at one sitting.

Auditorium
Will be used for court. Seats 1600 in static seating, and has an additional
large floor area for more seating or for handicapped access. Stage has
low-rise steps for easy access, full sound system, and a magnificent
backdrop painted as a faux cathedral with “stained glass windows” and 3-D
“columns”.

Asylum
Magnificent space resembling a 15th or 16th-century chapel. Quiet,
carpeted, removed from main activity (on third floor). Lots of seating in
upper observation gallery and along walls, but not enough for a full court.
Rather dimly lit but very atmospheric. Might be good space for A&S
activities, for possible vigils, for evening dancing, or for other
entertainments.

Upstairs ladies’ room & lounge
Very large parlor-like lounge with bathroom facilities in adjacent space.
Perfect Royalty room.

Conference room
Large room with very large conference table. Many large leather chairs.
Adjacent to restrooms. Probable meeting &/or scribes’ room.

Candidates’ room
Large-ish space with hard floors. Adjacent to auditorium and not far from
Royalty room. Could be used for fencing or other activities.

Cafeteria
Adjacent to main fighting hall. Great place to serve lunch, drinks and
snacks. Lots of space for populace to hang out.

Lounge
Extremely large room with both furniture and a good deal of open space.
Perfect space for sizeable numbers of populace to hang out.

ADDITIONAL FACILITY COMMENTS:

* Troll/gate area will be near main entrance in a space directly adjacent
to merchanting area and on the side of the building facing the main parking
area.

* Ample parking, with overflow available at DAI if there is no big event
on there; lot will have wrought iron fence by fall.

* Ohio law requires that we hire one of their in-house chefs while people
are using the kitchen facilities.

* Likewise, their policy for large events is to hire security for the
parking lots at the event’s expense. They always hire at least one
professional. If we do not provide additional security, they will hire two.

* Open flame will be permitted at feast.

* Huge number of tables (both round and rectangular)and chairs. Staff
will not have to rent any.
