Old Business:

Encampment at the Castle IV - Faoileann reported that she is waiting to hear whether the guard room will be available for the day. Alternate plans were discussed for renting another 20x30 pavilion to set up next to the shire's pavilion for use for A&S, classes, and feast. Tables would have to be rented, also.
Coronation - no word yet
Cook's Symposium - Giles reported that the individuals who organized the first three Kingdom Cook's Symposiums intend to continue the event this year. However, as it is being moved to the middle of Michigan, Giles suggested that we host a Regional Cook's Symposium instead. All present were in favor of pursuing this. Giles' proposal follows:

Regional Cook's Symposium
12/4/2004 or 12/11/2004
St. Timothy's Lutheran Church
1262 Ashland Rd
Mansfield, OH
(419) 589-5252

Preliminary bid proposal: This proposal assumes cost of the site to be accurate. This figure came from Carissa Spenst. As I understand, she was not acting in an official capacity at the time, so the site cost may change.

Cost of Site $75.00
Advertising $0.00
Postage $22.57
Dessert $20.00
Total $117.57

Cost of the site is the cost as quoted by Carissa in a conversation that took place at the recent Tournament of Chivalry. Use of the site would include the kitchen, Sanctuary, and all rooms other than the offices. Classes could be scheduled in at least one classroom (I think there might be two), the kitchen, a partition able area in the basement, and in the sanctuary. This configuration allows for four separate tracks of classes, including a hands-on track.

Postage of $22.57 allows for the mailing of a single flier to 61 shires in the Midrealm.
The dessert cost of $20.00 is for dessert to be provided by the hosting shire for the potluck feast. This will include the main course dishes brought by the attending populace. The site has no objection to alcohol consumption with meals, so alcoholic beverages will be permitted during the potluck feast.
Break even requirements:

30 Gentles at $4.00 $120.00 40 Gentles at $4.00 $160.00
Total Cost ($117.57)   ($117.57)
Gross Profit $2.43   $42.43

I will contact Carolyn about the cost involved in renting St. Luke's as a second consideration. There is more room at this location, but it is not as easy to get to, and the kitchen is smaller. The choice to use St. Timothy's as the primary site choice was because of location and kitchen size. Use of the secondary ssite may alter the alcohol policy.
Lord Giles fitz Alan
